Who we are
FWD Figure (ABN 29 296 435 990) is a marketing agency for Australian accounting and bookkeeping practices, run by Ryan Nguyen in Sydney, NSW. In this policy, "we", "us" and "our" mean FWD Figure.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect, why, who we share it with, and how you can access or correct it.
02
What we collect
We only collect what we need to respond to you and to deliver our services:
- Contact details: your name, email, mobile number, job title, and your practice's name, suburb, firm type and size.
- Booking and enquiry details: what you tell us when you book an audit, request a scorecard, chat with us or reply to a message.
- Account and billing details: if you become a client, the details we need to invoice you. Card payments are handled by our payment provider; we don't store card numbers.
- Website and ad data: pages visited, device and browser type, and how you arrived, collected through cookies and similar tools (see section 07).
- Publicly available business information: your Google Business Profile, reviews, website and listings, which we use to prepare audits and scorecards.
We don't ask for, and never want to receive, tax file numbers, bank statements, financial records or client documents. If you send them to us by mistake, we'll delete them.
03
How we collect it
- Directly from you, through our website forms, booking calendar, chat, email, SMS, phone calls and Facebook or Instagram lead forms.
- From public sources, such as Google, business directories and your own website.
- From your practice, when you become a client and give us details of your own clients so we can run the services you've asked for.
- Automatically, through cookies and pixels on our website and ads.
04
How we use it
- To reply to enquiries, prepare your scorecard or audit, and book and remind you about calls.
- To deliver, manage and report on the services in your agreement.
- To send invoices and manage your account.
- To send you marketing about our services, where you've agreed or where the law allows (you can opt out any time).
- To measure and improve our website and ads.
- To meet our legal obligations.
We don't sell personal information, and we don't use it for any purpose unrelated to the reason we collected it without your consent, unless the law allows it.
05
Emails and SMS
Our emails and SMS messages always identify FWD Figure and include a way to unsubscribe. Reply STOP to any SMS or click "unsubscribe" in any email and we'll stop within 5 business days, as required by the Spam Act 2003 (Cth). We'll still send messages you need about an active service, such as invoices.
08
Storage outside Australia
Some of our providers, including HighLevel, Google, Meta and Loom, store data on servers outside Australia, mainly in the United States. We choose established providers with strong security practices and take reasonable steps to make sure they handle your information consistently with the Australian Privacy Principles.
09
AI tools
We use AI tools to help draft content and to run website chat and virtual receptionist services. These tools answer general questions and book calls. They never give tax or financial advice, and a person reviews anything sent on a client's behalf. We don't put tax file numbers or financial records into AI tools.

Information we handle for our clients
When we run services for an accounting or bookkeeping practice, such as review requests or reactivation campaigns, we handle names, contact details and the services provided for that practice's clients. We do this on the practice's behalf and only to deliver those services. The practice's own privacy policy also applies.
We only message people who have an existing relationship with the practice or have given consent, and every message names the practice and has a working opt-out.
11
Security and how long we keep it
We protect personal information with access controls, two-factor authentication on our accounts and by limiting who can see it. No system is completely secure, but if a data breach is likely to cause serious harm, we'll notify you and the Office of the Australian Information Commissioner as required.
We keep information only as long as we need it for the purposes above or as the law requires (for example, financial records for 5 years), then delete or de-identify it. When a client relationship ends, we hand back or delete that practice's client data on request.
12
Access and correction
You can ask to see the personal information we hold about you, or ask us to correct or delete it, by emailing [email protected]. We'll respond within 30 days. There's no charge for a request, and if we can't give you access we'll explain why.
13
Complaints
If you're concerned about how we've handled your information, email [email protected] and we'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
